What type of agencies do you service?
We provide public safety services for agencies of all sizes. Fire services of all types, Sheriff Departments, Police Departments, Campus Police, District Attorney's Offices, Probation Offices, Port Police, State agencies and others.
What policies are included in the manual?
Our policy manual system is designed to be comprehensive. We start with over 140 policies that are important across a broad range of topics. Some of the policies listed in the Table of Contents will include multiple sections addressing more than one related issue. The manual is compatible with any accreditation body and provides an automated cross reference between the policy manual and accreditation requirements.
Is this a boilerplate or generic policy manual?
No, we work closely with your staff to develop a customized manual to fit the unique needs of your agency and community. On the other hand, we also have a goal of achieving a high degree of consistency and uniformity with regard to critical policies throughout each state. As such, many key points within your policies should and will be identical to those utilized by all of our other subscribing agencies as prescribed by court decisions and legislation. Having the assurance that your agency will be working from the same, latest policies used by so many other agencies is one of the benefits of our system.
Can we add policies of our own?
Yes. Using the edit tools you can add, remove and tailor any content you wish. It is rare for an agency to have more than a handful of policies that are not already addressed somewhere in the manual.
Will you review our manual and bring it up to date?
No. One of the benefits to our manual system is that our system keeps all agencies coordinated for timely updates. We provide the most current policies available and the tools that allow you to customize any policy to meet your needs rather than trying to fix your old ones. This approach provides you with a proven system allowing you to subscribe to annual updates that will forever eliminate your worries about staying current.
How much does the manual cost?
The initial manual development fee and update subscription are based on the number of sworn officers in your agency. It is a fraction of the budget needed for your staff to even attempt an equivalent effort. Please contact us for a quote for your department.
How can your services be so inexpensive?
Two reasons:
First, we apply our research and monitoring work to hundreds of agencies, thus lowering the cost significantly to any one subscriber. Second, the majority of our business comes from public safety agency referrals keeping our sales and marketing costs low.
Who owns the manual?
Your agency owns the final product and may reproduce and distribute it in any way you choose within the agency. We do ask you to sign an agreement that restricts you from allowing the product to be sold or reused outside of your agency or by any third party. This agreement does not restrict you from providing policies under the Public Records Act or other similar requests.
Do we have to take all the policies you recommend?
No, but there is tremendous value to the collective wisdom of our work and the input from our hundreds of subscribing agencies. There are a number of policies that are required by State and Federal law that we will advise you to include. You may also add policies at a later time if you find the need (I.e., you acquire a new K-9 program).
How long does the process take to complete?
The majority of the work has been done for you, but it is important that you review each policy carefully before adopting it for your agency. We ask that you assign a lead person to facilitate the work within your agency. That person should allocate 50 - 60 hours over a 4 -6 month period for the review and editing process. While input from managers and administrators in your agency may be helpful on certain policies, we have found that assigning committees to work on the manual inevitably delays the process.
How difficult is your system to use?
We have designed the system with ease of use in mind. Anyone with basic word processing skills will have no difficulty using the system. Your subscription includes the training and customer service resources you will need to ensure a successful and timely completion.
Can we receive the manual in electronic form?
You may download your manual in PDF format to distribute to your personnel or to place on your agency network. We will also include one bound copy of the manual customized with your agency graphics.
How is the manual kept up-to-date?
Our experts and law enforcement representatives in your area are constantly monitoring case decisions, legislation and other influences that effect policies and update content accordingly. We also identify issues and trends from the experiences of our hundreds of client agencies. New and updated content is presented for your review twice each year along with comprehensive release notes detailing the need for the recommended changes. When appropriate, we will also send an immediate update for issues of an urgent nature. Your agency has complete control over what content is included into your manual and with a few simple clicks of a mouse button your manual is up-to-date.
How do we add interim policies during the year?
The system is designed to allow continuous improvement through flexible online agency administrator tools. In short, you can update and publish your manual at any time.
What is the best way to implement the policy?
Depending on the state of your existing manual, your new manual may or may not involve changes that could effect terms and conditions of employment. Irrespective of meet and confer requirements, we recommend that your employee bargaining unit be given the opportunity to review the manual just prior to final approval and printing. Once adopted, it is best to insure that all employees have immediate access and training through printed copies, network or both.
Does the manual require the union or POA approval?
Usually not. The policy manual is unlikely to change working terms and conditions. We do recommend a good faith meet and confer before the manual is finalized to let the employee groups know about the process of development and the benefits of adoption. In our experience, most of the legal firms representing employee groups quickly identify the value of a consistent policy manual and are supportive.
Do you have references similar to our agency?
Lexipol subscribers include public safety agencies between two and thousands of employees located in numerous states. We most likely have a subscriber agency very similar to yours and are happy to furnish references upon request.
