We’ll be moving your Lexipol Policy account from KMS to our new platform, LexOne, which provides a more modern and reliable way to manage your agency’s policies. We’ll handle the transition, but there are a few important steps you need to take beforehand to help ensure a smooth experience:

  • Ensure users can access LexOne on day one

Complete These Steps Before Your Transition

Resolve Locked Policies and Temporary Edits

Review draft and locked policies, then accept or reject any temporary edits before your transition. For most agencies, this step takes less than an hour to complete.

Don’t skip this: Unresolved edits will be accepted in LexOne and change history will not be retained.

Confirm User Email Addresses

Confirm every active user has a real, unique email address in KMS. You can verify user records directly or ask users to review and update their own information before the move to LexOne using the available Message Templates.

As part of this process, users should also add Lexipol to their safe senders list to help ensure they receive important emails about their LexOne account and transition.

Avoid login issues: Users will need a valid email address to access LexOne, reset their password, and receive important transition communications.

Process Pending Policy Updates

Review and complete pending Lexipol policy updates so your manual is current before your move to LexOne.

Why: Completing updates now helps ensure your policy manual is current and reflects the content your agency expects to see in LexOne.

Save Your Records

To keep important records close at hand during your transition, we recommend exporting key assignment and acknowledgment records, including policy acknowledgments, Daily Training Bulletin (DTB) acknowledgments, and a copy of your issued manual records.

Why: Exporting these records now ensures they’re readily available for accreditation reviews and compliance reporting.

About Your Move to LexOne

Why are you moving to LexOne?

We’re moving to LexOne to give agencies a more stable, easier-to-use policy management system and to support future improvements across Lexipol products. The transition is designed to preserve the core policy management functions you use today while improving navigation, usability, and long-term support.

Lexipol will manage the transition from KMS to LexOne. Before your scheduled date, your agency will need complete a few preparation steps in KMS to reduce the risk of issues during the move. We’ll provide instructions, resources, and updates throughout the process.

 

We’ll notify your agency by email before your scheduled transition. Most agencies can expect to move within six months. About six weeks before your transition, we’ll share your specific date, required preparation steps, and available resources.

Yes. KMS access will be temporarily unavailable while your agency is moved to LexOne. We’ll communicate timing details before your transition so your agency can plan accordingly.

If your agency has a mission-critical issue that could affect your transition, contact your Lexipol representative as soon as possible. They can review your situation and discuss available options. You can request a later transition date here.

Preparing for LexOne

What do I need to do before my transition?

Agency administrators should complete the steps in the Transition Checklist. These include reviewing draft and locked policies to resolve temporary edits and confirming user email addresses.  

We also recommend exporting key records before the transition so your agency has access to information it may need later.

For most agencies, the required preparation steps should take less than two hours. The exact time depends on the number of policies, temporary edits, and users your agency manages.

Yes. Draft policies can remain in draft when your agency moves to LexOne. You do not need to finalize every draft policy before the transition. However, temporary edits within draft policies should be accepted or rejected before the move.

Some preparation steps help prevent issues after the transition. For example, unresolved temporary edits will be accepted in LexOne, and their change history will not be retained. Completing the required steps helps reduce avoidable problems during and after the move.

Agency Records in LexOne

What happens to my historical reports and acknowledgment records?

Some historical records may not be available in LexOne in the same format they were in KMS. We recommend exporting key acknowledgment and issued manual records before your transition so your agency has access to information it may need later.

Yes. Three years of archived manuals will be available in LexOne. Lexipol can access older data upon request.

Learning and Support

What changes will administrators notice?

Administrators will continue to manage policies, users, and assignments in LexOne. They will also see changes to the interface, navigation, dashboards, reporting, permissions, and general usability.

End users will see an updated dashboard, revised navigation, improved mobile access, and the option to bookmark policies and sections for faster access.

Yes. We’ll provide step-by-step guides, short instructional videos, administrator resources, end-user communication templates, and live or recorded webinars before and after the transition. We recommend that agency administrators attend both the pre-transition and post-transition webinars to understand required preparation steps and how to get started in LexOne.
